Standard Operating Procedures (SOPs)

At RNR Global Logistics, we follow standardized procedures to ensure every shipment is processed safely, efficiently, and in compliance with applicable regulations. Customers are requested to review and follow the SOPs below before booking a shipment.

KYC (Know Your Customer)

To comply with regulatory requirements, customers may be required to complete KYC verification before shipment processing.

Individual Customers

Please provide:

  • PAN Card

  • Aadhaar Card / Passport / Driving Licence / Voter ID

  • Address Proof (if different from ID proof)

Business Customers

Please provide:

  • GST Registration Certificate (if applicable)

  • PAN Card

  • Import Export Code (IEC), where applicable

  • Company Registration Certificate

  • Authorized Signatory ID Proof

  • Business Address Proof

Important: Shipments may be delayed until all required KYC documents have been received and verified.

Documentation Requirements

The following documents may be required depending on the shipment type:

Export Shipments

  • Commercial Invoice

  • Packing List

  • KYC Documents

  • IEC (where applicable)

  • GST Details (if applicable)

  • Product Certifications (if required)

Import Shipments

  • Commercial Invoice

  • Packing List

  • Bill of Lading / Air Waybill

  • Import Documentation

  • Customs Documents

  • Any permits required by the destination country

NOTE: Incomplete or inaccurate documentation may lead to customs delays, additional charges, or shipment rejection.

Packaging Guidelines

Proper packaging is the responsibility of the sender.

Customers should ensure that:

  • Goods are packed securely.

  • Fragile items are protected with suitable cushioning.

  • Liquids are sealed to prevent leakage.

  • Heavy items are packed in strong cartons or crates.

  • Packages are clearly labelled with sender and receiver details.

  • Multiple packages are individually numbered (e.g., 1 of 3, 2 of 3).

NOTE: Improper packaging may increase the risk of damage during transit.

Shipment Inspection

Before accepting a shipment, our team or logistics partner may inspect the package to:

  • Verify shipment details.

  • Confirm declared contents.

  • Check packaging condition.

  • Ensure compliance with applicable regulations.

NOTE: RNR Global Logistics reserves the right to refuse shipments that do not meet safety or legal requirements.

Insurance

Shipment insurance is available upon request.

Insurance is recommended for:

  • High-value goods

  • Fragile items

  • Commercial cargo

  • Sensitive equipment

Customers requesting insurance must:

  • Declare the correct shipment value.

  • Provide proof of value (such as invoices or purchase documents).

  • Pay the applicable insurance premium.

IMPORTANT: Claims are subject to the insurer's terms and conditions.

Customs Clearance

International shipments are subject to customs regulations in both the origin and destination countries.

Customers are responsible for:

  • Declaring accurate product descriptions.

  • Declaring the correct shipment value.

  • Providing complete documentation.

  • Paying applicable customs duties, taxes, and government charges unless otherwise agreed.

NOTE: RNR Global Logistics assists with documentation and coordination but cannot guarantee customs clearance or influence decisions made by customs authorities.

Restricted & Prohibited Items

Customers must not ship goods prohibited under Indian law, carrier policies, or the destination country's regulations.

Examples include:

  • Explosives and fireworks

  • Illegal drugs or narcotics

  • Hazardous chemicals

  • Weapons and ammunition

  • Counterfeit goods

  • Live animals

  • Currency and counterfeit currency

  • Products requiring special permits without the necessary approvals

NOTE: If prohibited items are identified, the shipment may be refused, returned, confiscated, or handled as required by law.

Pickup Process

  • Request a quotation.

  • Confirm the booking.

  • Share the required documents.

  • Prepare and pack the shipment.

  • Schedule the pickup.

  • Handover the shipment to the pickup executive.

  • Receive your shipment reference or tracking number.

NOTE: Please ensure someone is available at the pickup location during the scheduled pickup window.

Shipment Tracking

After dispatch, customers will receive a tracking number (AWB or equivalent).

Tracking information can be used to monitor the shipment through the carrier's tracking system.

Please note that tracking updates depend on scans performed during transit and may not always appear in real time.

Delivery Process

Upon arrival in the destination country:

  • The shipment undergoes customs clearance.

  • Duties or taxes (if applicable) are assessed.

  • The shipment is transferred to the local delivery network.

  • Delivery is attempted at the consignee's address.

NOTE: If the consignee is unavailable, additional delivery attempts or storage charges may apply, depending on the carrier's policy.

Claims Procedure

If your shipment is lost or arrives damaged:

  • Notify RNR Global Logistics as soon as reasonably possible after delivery or the expected delivery date.

  • Provide the shipment reference number.

  • Submit photographs of the package and its contents (where applicable).

  • Provide supporting documents, including invoices or proof of value if requested.

NOTE: Claims will be reviewed in accordance with the carrier's conditions of carriage, any applicable insurance policy, and relevant laws.

Customer Responsibilities

Customers agree to:

  • Provide accurate booking information.

  • Submit complete documentation.

  • Pack shipments appropriately.

  • Ensure goods comply with all applicable laws.

  • Pay freight charges, duties, taxes, and other agreed fees.

  • Respond promptly to requests for additional information during shipment processing.

Prohibited & Restricted Items Policy

At RNR Global Logistics, we are committed to ensuring safe, secure, and legally compliant transportation of goods. Certain items cannot be accepted for shipment due to international regulations, airline and shipping line policies, customs requirements, or safety concerns.

It is the customer's responsibility to ensure that every shipment complies with applicable laws in both the origin and destination countries.

Prohibited Items

The following items are strictly prohibited and will not be accepted for shipment under any circumstances:

Dangerous & Hazardous Goods

  • Explosives and fireworks

  • Ammunition

  • Firearms and weapon components (unless legally authorized and accepted under specific arrangements)

  • Flammable liquids and solids

  • Corrosive chemicals

  • Toxic or infectious substances

  • Radioactive materials

  • Compressed gases

  • Oxidizing substances

  • Hazardous waste

Illegal Goods

  • Narcotics and illegal drugs

  • Counterfeit products

  • Stolen goods

  • Pirated software or media

  • Illegal wildlife products

  • Products violating intellectual property rights

  • Goods prohibited by Indian law or the destination country's regulations

Currency & Financial Instruments

  • Cash

  • Counterfeit currency

  • Unsecured negotiable instruments

  • Lottery tickets (where prohibited)

Human & Animal Related Items

  • Human remains

  • Organs or body parts

  • Live animals

  • Live insects (unless specifically permitted)

  • Animal products prohibited under international regulations

Other Prohibited Items

  • Pornographic or obscene materials prohibited by law

  • Items intended for unlawful activities

  • Products subject to trade sanctions or embargoes

  • Any shipment declared illegal by customs authorities

Restricted Items

Certain goods may be accepted only after prior approval, additional documentation, or compliance with applicable regulations.

Examples include:

  • Lithium batteries

  • Mobile phones and electronic devices

  • Cosmetics

  • Perfumes and fragrances

  • Medicines and pharmaceuticals

  • Food products

  • Nutritional supplements

  • Medical devices

  • Alcoholic beverages (where legally permitted)

  • Tobacco products (where legally permitted)

  • Precious jewellery

  • Precious metals

  • Watches

  • Antiques

  • Works of art

  • High-value electronics

  • Chemicals requiring permits

  • Temperature-sensitive products

Acceptance of restricted items is subject to:

  • Carrier policies

  • Airline or shipping line regulations

  • Customs requirements

  • Destination country laws

  • Additional packaging requirements

NOTE: Acceptance is not guaranteed.

Customer Declaration

Before booking a shipment, customers must:

  • Accurately declare the contents of every package.

  • Declare the correct shipment value.

  • Provide complete supporting documentation.

  • Inform RNR Global Logistics if the shipment contains any regulated or restricted goods.

False declarations may result in:

  • Shipment refusal

  • Customs penalties

  • Shipment seizure

  • Additional charges

  • Legal action by relevant authorities

Inspection Rights

RNR Global Logistics and its logistics partners reserve the right to inspect any shipment whenever required for safety, security, customs compliance, or regulatory purposes.

If prohibited or undeclared restricted items are discovered, we may:

  • Refuse acceptance of the shipment.

  • Suspend transportation.

  • Return the shipment at the customer's expense (where legally permissible).

  • Surrender the shipment to the appropriate authorities.

  • Dispose of the shipment where required by law or regulation.

Customs Compliance

Every country has its own import and export regulations.

A product accepted for export from India may still be prohibited or restricted in the destination country.

Customers are responsible for verifying that their shipment complies with:

  • Import regulations

  • Export regulations

  • Customs requirements

  • Product certification requirements

  • Licensing requirements

NOTE: Our team can provide general guidance, but the customer remains responsible for ensuring compliance with all applicable laws.

Packaging Requirements

Restricted items accepted for transportation must be packed in accordance with carrier and international shipping standards.

Additional packaging, labelling, or documentation may be required for certain goods.

Failure to meet packaging standards may result in refusal of the shipment.

Liability

RNR Global Logistics shall not be responsible for losses, delays, confiscation, destruction, penalties, or additional costs arising from:

  • Undeclared prohibited items

  • Incorrect shipment descriptions

  • False declarations

  • Regulatory violations

  • Customs actions

  • Non-compliance with applicable laws

NOTE: Customers shall remain responsible for any charges, penalties, duties, or expenses resulting from non-compliant shipments.
